Guidelines

GUIDELINES FOR ORAL PRESENTERS

We kindly ask the authors to respect allocated presenting times:

  • Plenary lectures < 40 min presentation +5 min for discussion
  • Keynote lectures < 30 min presentation + 5 min for discussion
  • Invited lectures < 20 min presentation + 5 min for discussion
  • Oral presentations < 15 min presentation +5 min for discussion

Please be advised that presentations exceeding the limit will be cut off by the chairing persons of the sessions in the interest of time.

Presenters are not required to bring their own laptops, but if it is more convenient for them, they are welcome to use their own device for the presentation. There will be a Windows based laptop computer that will be available in the session room. Your presentations (Microsoft PowerPoint preferably, 16:9) will be accepted in USB Flash Drive form. Participants should have their presentations upload and ready before the session starts.
Filename should be presenter’s surname and 3 words of the abstract title (e.g. Surname_The Abstract Title.pptx).

Delivery of presentations
Presenters have to deliver their presentations to the technician in the room where they will have their lecture according to the scientific programme. If requested, after the presentation, it will be deleted under the supervision of the speaker.

Upload will be possible every day:

  • during coffee breaks or immediately after last talk of the day before the day of the presentation.

Important for MAC users:
To use Mac presentations on a PC-compatible computer, please ensure that your presentation is prepared according to the instructions provided below, before handing it over to the technician in the room where your presentation will take place:

  1. Convert it to PowerPoint or PDF.
  2. Use a common font, such as Arial, Times New Roman, Verdana etc. (Special characters might be changed to a default font on a PowerPoint-based PC).

It is also possible to use your MacBook, which needs to have a HDMI output.

GUIDELINES FOR POSTER PRESENTERS

  • Contributors are responsible for printing and providing their own posters for display at the Conference.
  • The maximum size of the poster should be 80 cm wide x 100 cm high.
  • The text and illustrations should be bold and large enough to read from a distance of at least one meter.
  • Portrait oriented layout is the preferred poster format. If you choose to use a landscape or square format, please ensure that all printed materials are less than 80 cm in width. Failure to follow this requirement will mean that the poster will not fit on the allotted board.
  • The number of each poster abstract and of its corresponding poster board is provided in the appropriate session programme.
  • Tape and technical equipment for the hanging of posters will be available, as well as assistance to help you mount your poster in the poster presentation area.

The Organizing Committee will not be responsible for posters that are not removed on time.

Poster Viewing Presentations

Posters will be presented in two days in the Posters Area.

Poster Session 1: Monday, September 8, 2025
Poster Session 2: Tuesday, September 9, 2025

Posters Session 1:
Mounting:      Monday, September 8, 2025, 08:30-9:00 and during coffee breaks and lunch break
Dismantling: Monday, September 8, 2025, 20:00-20:30

Presenters are asked to stand beside their poster during their Poster Viewing Session on September 8 at 18:00 – 20:00. During the Poster Viewing snacks and drinks will be provided.

Posters Session 2:
Mounting:      Tuesday, September 9, 2025, 08:30-9:00
Dismantling: Tuesday, September 9, 2025, 20:00-20:30

Presenters are asked to stand beside their poster during their Poster Viewing Session on September 9 at 18:00 – 20:00. During the Poster Viewing snacks and drinks will be provided.

Please check the Programme for the poster board number allocated to you and use the board with the same number.

There will be a Poster Helpdesk onsite to assist you.

Abstract Submission Opens on January 20, 2025.

Abstracts should be submitted electronically no later than June 15, 2025 to be considered for Oral Communications and Poster Presentations.

Please submit your abstract through online submission system. Please indicate your preferred method of presentation (oral communication or poster presentation).
Name the file: Lastname_Firstname_Word-of-title.
The abstract should not exceed one page and must adhere to the guidelines provided in the abstract template, which is available for download [here]. Please note that we accept files in the MS Word document (.docx) format.

At least one of the authors must be registered as a participant with paid registration fee.
